Rental software for small yards

Quote it, pick it, get it back, bill it. Without retyping any of it.

Header Tracker runs a small equipment rental yard from one screen. The office writes the quote, the yard picks from it on a phone, the return bills the extra days, and the invoice takes a card. Nothing gets rekeyed and nothing walks off unbilled.

The problems a small yard actually has

Not "digital transformation." The six things that cost you money last month.

The quote, the pick ticket and the invoice are three different pieces of paper.
Every one gets retyped, and every retype is a chance to lose a line. Here the quote is the pick list is the invoice. One record, three views.
Gear goes out without anyone writing it down.
The yard is busy and the driver is waiting. Equipment cannot leave without a completed pick on the phone. That pick is what starts the rental clock.
Minimum days get forgotten on the invoice.
A 28-day minimum comes back on day 12 and gets billed for 12. The minimum is billed up front; the return only adds days past it. Never less.
Nobody knows what is still out on a job.
Add-ons and partial returns turn into a phone call. Every job shows what is out and how many days it has been out. The return list builds itself from that.
Customers pay when they get around to it.
The invoice has a pay-by-card link through your own Stripe account. Money lands in your bank, and the invoice marks itself paid.
The last software needed a training week.
There is one path through a job and the buttons only show what makes sense next. The guides are inside the app, written the way your crew talks.
How it works

One path through every job

Each stage hands off to the next. The status changes by itself when the work is done.

1

Quote

Pick the customer, add the items, set the days. Email it from your own address with the PDF attached. Speak it in if you are on site.

2

Order

Customer says yes. One click makes the order, sets the delivery date and hands the yard a pick list.

3

Pick & deliver

The yard checks items off on a phone. Complete Pick moves inventory out and puts the job on rent.

4

Return

The return list is built from everything still out. Mark damaged, leave the rest on rent, done.

5

Invoice

Minimums billed up front, extra days on return, card payment on the invoice. Overdue shows on the board.

  • Installs like an appiPhone and Android, no app store. Big targets, works one-handed.
  • Pick, return, add onPartial picks and partial returns are normal. Whatever is left stays on the list.
  • Yard gets emailed the pick listWith the delivery date, the address and the gate code, the moment the order is made.
  • QR labels, optionalPrint size labels from the app and scan instead of scrolling. Optional add-on.
Who it fits

Three kinds of yards, one system

Small equipment rental yards

Shoring, scaffold, headers, props, compaction, small iron. Anything with a per-day rate and a minimum. A few hundred pieces to a few thousand.

Contractors renting to themselves

Your own gear going out to your own jobs. Every job gets charged for what it used, so the equipment account stops being a black hole. How to charge your own jobs for your own gear →

Rental plus light sales

Ties, wedges, sealer, gloves. Sale items sit on the same quote as the rental, one price, no days, and count down your stock.

Pricing

One price. No per-user math.

"I ran a header rental yard out of my masonry company for three years. The tools I could afford did not fit, and the ones that fit I could not afford. So I built this, ran my own yard on it, and fixed what my guys tripped on. When I sold the headers, the buyer wanted the software more than the steel."

Questions

Straight answers

Is this only for masonry header rental?

No. The header estimator is one switch. Turn it off and you have a plain rental yard system for any equipment or tools, with a per-day rate and a minimum on every item.

Do we have to change our email or bank?

No. Quotes and invoices send from a Google account you connect once. If your company is on Microsoft, a free Gmail for the business works fine. Card payments run through your own Stripe account and land in your bank.

Does it work in the yard on a phone?

Yes. It installs as an app on iPhone and Android. Pick lists and returns are done on the phone; the office sees them the moment they are saved.

How long does setup take?

An afternoon. Your inventory comes in from a spreadsheet, your people get a login by email, and the guides inside the app walk the crew through a job end to end.

What if a customer keeps something past the minimum?

The return bills the extra days automatically. If a job runs long you can also bill gear still out every 30 days.

Can we get our data out?

Yes. Inventory, customers, jobs and invoices export to spreadsheets at any time. It is your data.
